Highview Condominium II
BOARD OF MANAGERS MEETING
SEPTEMBER 27th, 1985
Meeting called to order at 8:15 PM.
Members present: Ms. Abruzzo, Ms. Cooper, Mr. Cornell, Mr. DePetro, Mr. Finnerty, Mr. McGuire, Ms. Ryan, Ms. Simon
1) A discussion was hold re; type of rental agreement form to use, the amount of the fine imposed and a review of the Resolution of Sales and Lease Policy. Martha Simon suggested we change the fol-lowing in the previously submitted proposal:
-- Page "1", Line "1": add name of managing agent.
-- Line "3": delete upon approval and to all concerned.
-- add "the Board of Managers will send a written notice of its' decision.
-- Line "4": delete "will be levied and a suspension of all privileges instituted ".
-- Page "2": add P.O. Box of Highview Condo. II, (so that the people know where to submit the leases).
-- Shibohan Ryan made a motion that we accept the covering letter from MCI with the above changes made. Joe DePetro seconded the motion. All members approved.
2) Carlos' vacation plans for 1985 have been discussed. In the future, the Managing Agent should handle the supers' vacation plans. (Carlos intends to take the first two weeks of November (starting 11/1/85) and wishes to obtain an additional two week vacation: he would be away the month of November) However, a relative would be willing to cover for him.
Joe DiPetro made the following motion: effective 1986, the superintendent of the building will be allowed to take his two week vacation time from April 1st, through September 30th inclusive. This was seconded by Olive Cooper, all members approved.
It will be the managing agents' responsibility to interview, obtain credentials, etc. of the client to replace Carlos during his vacation time. He will then present this person before the Board and upon review, we may accept or reject this client. If we reject him, it will be the managing agent's responsibility to seek a new client whose credentials must again be presented before the Board for approval. This must occur before Carlos' vacation. The managing agent must have someone who speaks/understands English, and can work 9 AM - 5 PM.
Joe DePetro made the following motion: Carlos will take his usual two week vacation and will be paid for that. He will take only a one week unpaid leave of absence. The managing agent will get a qualified replacement for Carlos and present him/her at the next Board meeting. Frank McGuire seconded the motion, Marian Abruzzo rejected the motion. All other Board Members present voted in favor.
Tony Affatati will convey this to Carlos and will tell him that he is expected to return after this 3 week period of time is up. Tom Finnerty will instruct Tony of this motion made.
3) At the last meeting Tony intimated that Carlos is seeking a pay increase. A discussion ensued as to what duties Carlos is doing/not doing (ie: landscaping duties, etc.) for the amount in which he now makes. Tony will be notified to present to the Board a copy of the worksheets Carlos gives to him. Other topics that arose: if any notices/solicitation notices are found to be posted in the building (ie: lobby), he should remove them. He should also make sure that all doors are locked. If we should find tres-passers in the building, we might contact Carlos to remove this person; however, we should contact the Police Dept. should Carlos refuse to do so.
4) Mr. & Mrs. Salvator Latond were notified by Tony Affatati that on or before 10/3/85*Karlsen Roofing Co. will perform work on the roof. They inspected the premises at an earlier time and had ascertained what the problem was. The fee for this work is $750.00.
Tony stated to Tom Finnerty that he still couldn't get in touch with Mr. Kalimean to give us the roof guarantee.
Carlos will perform work (plaster etc.) inside their unit.
*it was supposed to be done 9/24 but didn't do it; the next date was 9/27 - Hurricane Gloria struck and was due back 9/28.
5) We received a new lease agreement for apartment #5G, for Mr. and Mrs. Coakly. Their rent is $650.00 per month.
6) We will again distribute copies of "Rental Pockets" and lease agreement, formerly distributed to all unit owners. This will be done via certified mail to prove they received it and if not re-turned to us, we may fine them accordingly. We will reactivate the "Welcome Committee" to perform this job. We will also try to obtain a new up-to-date listing of unit owners who reside in the building. Attempts shall be made to call/contact unit owners to get the correct name of all lassoes residing in the building. Copies will be given to MCI and Ron Mazzucca, Esq.
7) Mr. Richard Sgarlato (5A) has been contacted by Ray Vino, in-forming him that he is in violation of By-Laws by performing busi-ness in his unit. He responded back in a letter (see letter dated 9/3/85). Mr. Mazzucca replied, in a follow up letter, that the Board of Managers did not give authorization for him to perform such duties in his unit (& is going against By-Laws), therefore, he will not be able to continue performing these activities. If he does we will discuss fining him a certain amount each day he continues to perform such actions. We may also take him to small claims court. This will be discussed with Ron Mazzucca and the fine will also be discussed as this has never been done before by Board of Managers of Highview Condominium II. We shall take a picture of the sign located outside his office stating that he is temporarily located in our building. Actually, should we decide to take legal action against him (and it appears on the court calendar) he may already have moved back to his former office.
8) The intercom has been broken and a specialist has been hired to correct the problem.
9) Tony Affatati wishes to replace the two interlocking doors located in the lobby. It appears that the doors short out as they are being left open.
In the meantime, there remains a violation from the Building Dept. on the building. A discussion ensued whether or not it would be feasible to present to the Building Dept. a copy of receipts showing that actual work had been performed to correct this violation.
10) We should purchase more Oil for the winter. We do not know if, in fact, we have a contract at this time for the boiler. We reviewed contracts from different companies, including Bayside Oil Co. They inform us that we will have cheaper rates should we util-ize them and purchase oil from their company.
11) A deposit has been given for safety glass for the lobby. They have not yet been installed.
12) The plasterer will not be able to perform work in areas of lobby and mailroom where ceiling has been cut as the area has not yet dried-
Carlos has resealed the pipe in lobby mailroom area involved in the leak located.
13) Tony Affatati will be asked about the status of the chemicals in the boiler: were they applied? When? If not, when will they be applied?
14) Carlos still has not yet received his beeper and uniform. We discussed the possibility of buying him one and sewing on a label: EX: HC II, Super, but this was not formalized.
