Meeting Minutes

MINUTES January 15, 1985 8:00 p.m. Unit 1G

All Board Members present along with Frank McGuire who is a new Board member and Deborah Kess. Also present is Ray Vino from CMS Company.

1. Mr. Vino spoke to the Board about CMS and their role as managing agents. He explained such topics as:

---history of the Company
---billing procedures/samples
---evaluation of Super's duties/recommendations he would make to change, etc. if desired
---samples of documents for late charges, letters re: bad checks, phone call logs, work to be done/done sample sheets, forms for resident violations, doorknob messages, etc.
---in six months, CMS will be totally computerized
---incoming bills to be paid twice a month
---managment report shown which includes minutes, financial records, bills paid/not paid, letters to managing agent from homeowners, back check notices, bids obtained, cash receipts & disbursements, accounts payable, etc.
---we will use our own vendors and should work be needed on anything, they will obtain bids for us should time allow. (Obviously, if an emergency arose, time would be a big issue...) Should we desire them to do work for us, it will be $25/hour plus materials used.
---fees are $l3.50/unit per month (basic rate). Should we desire an agent to attend quarterly meetings for 3 hrs/session, plus homeowner meetings, there will be an additional $150 fee. For the first year, there will be a one year agreement with a 60 day cancellation clause after one year. We do have options, however, if price increased instituted, we can have an option built in for us whereas we can sign at one rate and still get their services at rate signed.

(For more information see brochure distributed by CMS.)

2. We shall have an interview with Mr. Bartels at his convenience; he charges $8/unit for his management services.

3. Due to recent occurrence of bad weather, Martha Simon has made a motion that we purchase a carpet, or covering, or runner to lay down on tile area outside lobby entrance to prevent sliding or serious injury. Frank McGuire has seconded this motion.

4. Martha Simon has questioned the Board along with Island Condo. Corp. re: listing of "J. Kiley" and his services appearing on November financial statement. Tom Finnerty had said that Mr. Kiley had performed work due to damages done in leak in J/K line, and that Martin Filler knew who he was and what work was done. Martha Simon then stated that she questioned Martin Filler and he had no idea what work was done nor who "J. Kiley" was. This issue is still to be settled.

5. Jeri Pena has proposed a motion that we interview more managing agents immediately (upon their availabity) and make a decision as to who to hire as soon as possible. Martha Simon seconded this motion.

6. Shibohan Ryan has proposed that the next meeting be held specifically for this purpose and for no other reasons; this was seconded by Joseph DiPetro.

7. Tom finnerty will try to get a landscaping contract which will be cheaper than the previous one because we will be able to be classified as "a residential piece of property rather than commercial."

8. Tom Finnerty proposed a number of items that Martin Filler have done via Carlos and these include:

clean and empty out compactor room. This should be kept free of all debris and furniture. Things should only be kept there if they are functional.

Clean lobby area.

Clean carpets: bids were obtained of $400 and $600. We shall rent machines from Reiman's and do it ourselves.

We spent $55 on the Christmas party and have $75 left over. Steve Cornell has volunteered to check out new antenna systems and to purchase one (with FM stereo) if feasible.

If we have additionaly money over from this, perhaps we can purchase some refreshments for March General Membership meeting.

Tom Finnerty has also suggested that we hold off on the rental proposals until we hire a new managing agent.

9. Joe DiPetro has announced that he will prepare the budget as we have no official Treasurer. Joe and Olive Cooper will be co- Treasurer.

Marian Abruzzo has announced that her position as Secretary will be up for election in March.

10. A listing of names and phone numbers of all board members will be typed up & distributed.

11. Ron Mazzucca has announced that he would like to attend a Board meeting and have the Board review their options re: case with Kalimeari. He has also stated that he has sent back the "packet" to Attorney General's office and hopes it will be finalized shortly.

12. Deborah Kess has stated that she feels it is wrong of Carlos to leave valuable equipment around the presmises without supervision and no locks on it.

13. The next meeting will be held when Mr. ~artels is available and a set date is not announced at this meeting.
